What an AI assistant can do in Bokeping
How a connected AI assistant reads your books, prepares drafts for your approval, and what it is never allowed to do.
You can connect an AI assistant you already use, such as Claude or Codex, to one of your Bokeping companies. The assistant can then answer questions from your actual books and help with routine bookkeeping work. You stay in charge: it sees only what you allow, and nothing it prepares reaches your books until you approve it.
The connection uses MCP (Model Context Protocol), an open standard that AI apps use to work with other services. You do not need to understand it to use it. You add one address to your AI app, sign in to Bokeping, and choose what to allow.
What it is good for
Section titled “What it is good for”| You want to… | For example, ask | What the assistant does |
|---|---|---|
| Get an answer from your books | “Which invoices are more than 30 days overdue?” | Reads your lists and reports and answers in plain language. |
| Check the books before a deadline | “Can we close September?” | Reviews close readiness, bank lines still waiting for review, and statement tie-outs, then lists what still needs attention. |
| Get ready for 1099s | “Are we ready to issue 1099s for 2025?” | Lists contractors over the threshold and who is still missing a W-9, tax ID, or address. |
| Move from QuickBooks Online | “Help me move this company’s books from QBO.” | Explains which reports to export and checks each import before and after. With permission, it maps the columns and runs the preview for you. |
| Save typing | “Draft an invoice to Riverside Café for 40 croissants at $3.50.” | Shows you the draft first and creates it only after you say yes. |
Ready-made playbooks, called Skills, guide the assistant through longer jobs such as a migration or a month-end review. See Use Bokeping Skills.
What stays with you
Section titled “What stays with you”The assistant has no way to do any of the following. There is no tool for them, whatever permissions you grant:
- Post, open, approve, or send an invoice, bill, expense, or purchase order.
- Record a payment, move money, or contact your bank.
- Edit, void, or delete an existing record. The one exception: with the Attach files permission, it can attach a file already uploaded to Bokeping to a draft.
- Import a file. It can prepare an import you uploaded; you start the import yourself on the import page.
- Post a journal entry. It can prepare one; you review and post it from the journal page.
- Close, lock, or reopen a period.
- Change company settings, team access, or anyone’s permissions.
- File or pay taxes.
How a change reaches your books
Section titled “How a change reaches your books”Reading is the default. Creating anything requires a separate permission that starts unticked when you connect. Even with that permission, every change follows the same steps:
- The assistant asks Bokeping for a preview. Nothing is saved at this point.
- The assistant shows you what it is about to create and waits for your yes.
- Only after you confirm does Bokeping save it. The confirmation expires after 10 minutes and works for that one record only.
New customers, vendors, and items are added as ordinary records. Invoices, bills, expenses, and purchase orders are always saved as drafts. Review a draft in Bokeping, then post or open it yourself. Draft invoices, bills, and expenses count toward your plan’s monthly document allowance, the same as drafts you create yourself. Deleting a draft gives its place back.
It works within your access
Section titled “It works within your access”- One company per connection. You choose the company when you approve the connection. The assistant cannot switch to another company on its own.
- Never more than your role. If your role cannot see bills or create invoices, neither can your assistant.
- Only the permissions you ticked. You can remove one later, or disconnect completely, from Connected Agents.
Your data and your AI service
Section titled “Your data and your AI service”Whatever the assistant reads from Bokeping is sent to the AI service you use with it. Full tax IDs, bank account and routing numbers, card data, and access tokens are never included. Bokeping does not control how your AI service stores or uses what it receives. That depends on your agreement with the provider and your account settings there, for example whether conversations can be used to train models. Check those settings before connecting, especially when the books belong to a client. Permissions and privacy explains each permission and the company-wide switch that owners and admins control.
Check its work
Section titled “Check its work”An AI assistant can misread a question or a report. Before you act on an answer, open the related report or record in Bokeping and confirm the figures. Treat drafts the way you would treat work from a new team member: review the customer, dates, accounts, and amounts before you post. The assistant’s answers are not tax or legal advice.
What it costs
Section titled “What it costs”Connecting an assistant is available on every Bokeping plan. Your AI app may have its own subscription or usage charges. If a company’s subscription has ended and its books are read-only, the assistant can still read but cannot create anything.
