Why a credit card payment is not another expense

Understand transfers between your bank and card accounts without counting purchases twice.

You buy $200 of supplies on a business credit card, then pay $200 from checking to the card. There is one supplies purchase and a separate card payment—not $400 of expenses.

Event What it represents
$200 supplies purchase on the card. The purchase and an increase in the card balance owed.
$200 checking payment to the card. A reduction in checking and in the card liability.
$10 card interest or a separate fee. A separate cost, reviewed from the statement.

For a paid purchase without an existing bill, record an expense using the credit card as Payment Account and the purchase category as Expense Account. If a bill already represents the purchase, use its payment workflow instead of adding the purchase again.

  1. In Banking → Bank transactions, review the checking withdrawal and the card’s corresponding payment.
  2. Compare the two statement references and amounts. Posting dates can differ between institutions.
  3. Check whether the movement between the accounts has already been recorded. Match to the existing movement where applicable.
  4. If it has not been recorded, open Categorize, choose Credit card payment, and select the other account in Transfer to/from. From a bank/cash withdrawal, select the credit card; from the card’s incoming payment, select the paying bank/cash account. The empty match panel also offers Record as credit card payment when eligible. Review the confirmation and save the category. Do not categorize the checking withdrawal as another supplies expense or the card receipt as sales income.

Match the other feed row to the existing movement; do not create a second payment. Recording this movement does not send money through your bank.

For checking-to-savings movements, follow record an account transfer.

Reconcile each account to its own statement. A movement can clear one account before the other. Check any fees separately rather than changing the transferred principal to make two rows match.

See the card-funded expense example for the original purchase, then review the card payment separately. The payment should reduce the card liability without adding that purchase cost again.
